Introduction

Meetings are where a business makes its most important commitments — and where those commitments are most often lost. Someone is asked to take notes and misses half the conversation. Minutes are typed up hours or days later, if at all. Action items are scattered across chat threads with no owner and no due date, and the same decision gets re-debated in the next meeting because nobody can remember what was agreed.

HOI MOM (Minutes of Meeting) fixes this at the source. This use case walks through how a project-delivery team uses HOI MOM in a typical client review meeting, and what changes for them once the platform is in place.

The Scenario

A product-and-engineering team runs daily standups and weekly project reviews — short, fast meetings that switch naturally between English and Hindi, where tasks are handed out verbally and decisions are taken on the fly. How HOI MOM is Used

Before the meeting

  • The organizer creates the meeting in HOI MOM: title, time, capture mode (online meeting or in-person room), and the participant roster from the workspace directory plus external guests.

  • Consent notices are automatically emailed to external participants, so recording is always transparent and compliant.

  • One click on Join & Record opens the meeting link and arms recording — from the desktop agent (Windows/macOS) or the zero-install browser client (Chrome/Edge).

During the meeting

  • HOI MOM captures the organizer's microphone and the meeting audio, and streams it to the cloud; if the connection drops, audio is buffered locally and uploaded later, so nothing is lost.

  • A live transcript appears as people speak, with speakers separated and English, Hindi and mixed Hindi–English (Hinglish) handled natively.

  • Insights are extracted while the meeting is still running — decisions, action items with owners, risks and follow-ups begin appearing in the side panel in real time.

  • Nobody on the team has to take notes; everyone participates fully in the discussion.

Right after the meeting

  • Within minutes, HOI MOM composes the Minutes of Meeting: a concise summary, decisions taken, an action-item table (task · owner · due date · status), risks and open questions.

  • The organizer assigns real names to any unnamed speakers, edits if needed, and approves the MOM. The transcript remains visible to internal participants only.
